Job Description

Knight Const. & Supply, Inc. is a family-owned general contractor specializing in heavy construction projects throughout the Pacific Northwest since 1968. Our specialties include large hydraulic steel structures and associated actuators controlling the water flow and barge traffic on the dams of the Pacific Northwest river systems. We also service hydropower, plywood and paper, waste to energy, steel and aluminum industries in the Northwest. Knight Const. & Supply, Inc. maintains manufacturing and fabrication facilities onsite, ensuring quality and crews that can be mobilized on short notice.

SENIOR CONTRACT ADMINISTRATOR

The successful candidate will provide Contract Administration and proposal activities, as well as provide contract operations support, and supervise support staff. The Contract Administrator reports directly to the Vice President, acting as a liaison to and working closely on a day-to-day basis with the Bid Team, Project Management, Operations and Accounting. This position is responsible for all aspects of contracts, from the business development phase through contract closeout, delivering strong customer satisfaction, subcontracting management, and risk mitigation. The Contract Administrator must be a self-starter and able to work collaboratively with team members, including in an advisory role to project management and the customers. Knowledge of Federal Acquisition Regulations (FAR) and Defense Federal Acquisition Regulations Supplement (DFARS) is key in this role.

ESSENTIAL DUTIES AND RESPONSIBILITIES

These duties are those typically performed in this position. Employee may not perform all the listed duties and/or may be required to perform additional or different duties.

  • Assist in the preparation of proposals and review of all bid packages (Large Contracts in particular) for accuracy and completeness prior to delivery to solicitors
  • Assist with the review and negotiation of contractual details while maintaining compliance, including specifications, price, delivery date and contractual provisions
  • Comprehensive review of awarded contracts and contract modifications for terms requiring management attention
  • Disseminate, coordinate, clarify, consolidate, and track all contract actions from inception to completion
  • Interpret contract terms and communicate to Project Managers; provide assistance to Project Managers in quote preparation for contract changes
  • Assist Project Managers in assembly and completion of all contract documents
  • Review of all consultant and contractor pay applications
  • Manage the administration of bid bonds
  • Maintain positive relationships with Company insurance broker and surety
  • Administration of business insurance policies (property, liability, etc.)
  • Subcontractor pre-qualification, preparation of subcontracts, and manage flowdowns and compliance
  • Participate in project meetings
  • Review and disseminate project wage requirements
  • Manage the Small Business and Minority/Diverse Business Program (Light travel for Networking & Industry events)
  • Acts as a liaison between Management, Estimating, Project Management, Accounting and Human Resources for all matters pertaining to contract administration and compliance
  • Develop and maintain professional working relationships with existing clients
  • Provide follow-up with vendors and clients to ensure approval and return of all project documentation
  • Manage City, County, State and Professional Licensing for multiple states
  • Supervise Administrative Assistants and Training Coordinator in the day-to-day operations
  • Work within and promote corporate vision, mission, and values of the organization
  • Perform other duties as assigned

REQUIRED EXPERIENCE, SKILLS AND EDUCATION

The following generally describes the knowledge and ability required to enter the job and/or learned within a short period of time to successfully perform the assigned duties.

  • Five years' experience as a Contract Administrator in a construction environment
  • Minimum AA degree required; Contract Administrator certification from a recognized construction management or business program preferred
  • Excellent written and verbal communication skills
  • Proficiency with Excel, Word, Bluebeam and construction software
  • Highly organized, efficient, and detail oriented
  • Positive and reliable team player
  • Excellent time management skills with a proven ability to meet deadlines
  • Must be able to meet all safety requirements for applicable safety policies

PHYSICAL REQUIREMENTS

  • Prolonged periods of sitting at a desk and working on a computer
  • Occasional walking, pushing, pulling, bending, kneeling, crouching/squatting up to 8+ hours per day
  • Ability to lift/push/pull up to 10 lbs. constantly (67-100% of time); up to 25 lbs. frequently (34-66% of time)
  • Ability to communicate (read, write, speak) constantly (67-100% of time)
  • Handling and manipulating objects and materials
  • Coordinating the movements of eyes, hands and fingers
  • See with or without correction; hear with or without correction
