We are seeking a skilled Fund Manager Assistant to provide support the Division of Hematology Oncology Research. In this role, you will assist in scheduling and preparation of meetings and interviews, updating and maintaining calendars, and arranging meeting details. Handle detailed documents, implement and maintain office files, and ensure other key documents are current. Follow up with other personnel to ensure requests are processed in a timely manner. Prepare forms, reports, meeting minutes, meeting agendas, outlines, and other items. Reserve conference rooms and make arrangements for audio-visual, refreshments, and other meeting details. Greet guests on arrival and notify appropriate individuals. Assist in preparation of financial reports, print and organize ledgers for meetings, help reconcile monthly ledgers, organize financial binders and online files. Assist with purchasing of office supplies. Compose and prepare correspondence. Provide front desk coverage of phones and other duties when receptionist is on breaks or out of office. Assist with special projects as requested.

Hourly Salary Range: $24.10- $49.14

Qualifications

Required:

  • Familiarity and skill in working with the Microsoft Office suite of applications (Excel, Word, Outlook), Adobe Acrobat, and various internet utilities.
  • Ability to speak persuasively to individuals and to both large and small groups.
  • Skill in setting priorities in the presence of deadline pressures, competing requirements, and a heavy workload.
  • Skill in handling a busy executive calendar for a faculty member with Divisional, Departmental, and other University responsibilities.
  • Skill in writing grammatically correct correspondence, reports, memos and minutes.
  • Skill in editing and proofreading correspondence for correct grammar, spelling and punctuation.
  • Skill in collecting information from varied sources and assembling it into an organized, cohesive and useful format.
  • Skill in performing duties of a highly detailed nature with frequent interruptions and/or distractions.
  • Skill in negotiating discounted rates for various events and services.
  • Financial knowledge in account reconciliation, preparing and understanding basic budgets.
